Responsibilities

Front Desk & Office Support:

  • Be the welcoming, professional first point of contact for all clients, guests, and callers, reflecting the firm’s premium brand at all times
  • Manage the reception area, visitor management, incoming and outgoing correspondence, post, and courier handling
  • Provide day-to-day administrative support to the Administration & Operations Manager: scheduling, supplies, meeting logistics, and office coordination
  • Maintain the firm’s filing systems (physical and electronic), keeping documents organised and easy to retrieve

Finance & Bookkeeping Support:

  • Support the firm’s payment requisition process: receiving requests, ensuring forms and receipts are complete, and routing them for approval
  • Record transactions accurately in the firm’s cashbooks and trackers, and keep petty cash records reconciled
  • Track invoices, receipts, and reimbursements, and follow up on outstanding documentation
  • Assist the Chief Operating Officer with month-end record-keeping, simple financial summaries, and audit-ready filing
  • Save receipts and financial records to the firm’s Drive in the correct folders, in line with the firm’s document standards

Requirements

  • Strong bookkeeping and numeracy skills; comfortable recording, reconciling, and tracking money accurately (a formal accounting qualification is an advantage but not mandatory)
  • Prior experience in a front-desk, administrative, or finance-support role, ideally in a professional services, legal, or financial environment
  • Proficiency in Google Workspace (Gmail, Calendar, Drive, Docs, Sheets); confidence with spreadsheets is essential
  • Excellent written and verbal communication in English, and a warm, polished, professional manner
  • Strong organisation and the ability to juggle reception duties and finance tasks without losing accuracy
  • Discretion is non-negotiable. You will handle sensitive client and financial information and must maintain strict confidentiality
  • Willing to unlearn to relearn, using AI and technology to execute tasks and workflows efficiently
