Key Responsibilities

  • Office Coordination: Oversee reception duties, handle incoming calls and correspondence, and greet visitors.
  • Document Management: Prepare, file, and maintain company records, contracts, and confidential documents.
  • Supplies & Logistics: Monitor and reorder office supplies; coordinate with vendors for equipment maintenance and office services.
  • Meeting & Event Support: Arrange meetings, conference calls, and company events—including scheduling, venue setup, and minute-taking.
  • Travel & Accommodation: Organize travel itineraries, visa applications, and hotel bookings for staff.
  • Report Preparation: Compile weekly/monthly administrative reports and track office expenditures.
  • Cross-Functional Support: Assist HR with onboarding/offboarding processes; support finance with invoice processing and petty cash reconciliation.

Requirements

  • Bachelor’s Degree in Business Administration, Management, or a related field.
  • 2 – 4 years of administrative or office management experience, ideally within real estate or related industries.
  • Excellent organizational, time-management, and multitasking skills.
  • Strong written and verbal communication abilities.
  • Proficiency in MS Office (Word, Excel, PowerPoint) and familiarity with office management software (e.g., ERP systems, CRM).
  • High level of discretion and professionalism when handling confidential information.
  • Ability to work independently and collaboratively in a dynamic environment.
