Job Summary
- You will be responsible for ensuring smooth day-to-day office administration, facilities coordination, vendor management, documentation, internal support, and general operational efficiency.
- You will help maintain a professional, well-organised, and client-ready office environment that enables lawyers and business teams to work effectively.
Responsibilities
Your job responsibilities include the following:
Office Administration & Daily Operations:
- Manage daily administrative activities across the office.
- Ensure the office environment is organized, functional, clean, and professional.
- Coordinate office opening, closing, meeting room readiness, visitor reception, and general workplace support.
- Track administrative requests and ensure timely resolution.
Facilities, Supplies & Vendor Management:
- Monitor office supplies, stationery, equipment, utilities, and consumables.
- Coordinate vendors, service providers, repairs, maintenance, cleaning, security, internet, and office equipment support.
- Obtain quotations, compare vendor options, and support cost-effective purchasing decisions.
- Maintain vendor records, service schedules, invoices, and delivery confirmations.
- Escalate facility or service issues promptly to avoid disruption to work.
Records, Documentation & Filing Support:
- Maintain organized administrative files, office records, contracts, correspondence, and internal documents.
- Support document scanning, filing, indexing, archiving, and retrieval.
- Ensure confidentiality of firm, client, employee, and operational records.
- Assist with preparing letters, memos, reports, meeting notes, and administrative trackers.
Logistics & Internal Coordination:
- Coordinate travel bookings, transport arrangements, accommodation, courier services, and official errands.
- Track movement of documents, parcels, and office items.
- Support staff onboarding logistics, including workstation readiness, ID cards, access, equipment, and basic office orientation.
- Coordinate internal announcements and administrative updates where required.
Process Discipline, Compliance & Reporting:
- Maintain accurate administrative trackers and periodic admin reports.
- Support the implementation of office policies, health and safety standards, and internal controls.
- Ensure administrative expenses are properly documented and submitted to Finance.
- Monitor office assets and reduce avoidable loss, waste, or misuse.
Requirements
- Bachelor’s degree or HND in Business Administration, Office Management, Public Administration, Secretarial Administration, or a related field.
- Minimum of 2–4 years’ experience in office administration, operations support, facilities coordination, or executive/admin support.
- Experience in a law firm, consulting firm, professional services firm, or corporate office is an advantage.
- Good knowledge of Microsoft Office, email tools, filing systems, office equipment, and basic reporting.
- Strong communication, coordination, documentation, and follow-up skills.
- Ability to manage vendors, office supplies, records, logistics, and administrative expenses.
- High level of discretion, reliability, punctuality, and attention to detail.

Physical Requirements:
We currently run a fully-onsite work structure; where you have to collaborate with colleagues. You may have:
- Prolonged periods sitting at a desk and working on a computer.
- Occasional travel for training, team retreats, or compliance-related meetings.
