Role Overview
- We are seeking a highly organized, proactive, and discreet Executive Assistant to provide strategic and operational support to executive leadership.
- This is a hybrid role requiring a professional who can operate confidently across administrative excellence, executive coordination, confidential communications, and project follow-through in a fast-paced, multi-portfolio business environment.
- The ideal candidate is detail-driven, calm under pressure, tech-savvy, and solutions-oriented, with the ability to anticipate needs, manage priorities, and act as a trusted extension of the executive office.
Key Responsibilities
Executive & Administrative Support:
- Manage executive calendars, schedules, and appointments with precision
- Coordinate meetings, board sessions, and executive engagements (virtual & physical)
- Prepare agendas, briefs, presentations, reports, and meeting minutes
- Handle confidential correspondence, emails, and executive communications
- Act as a gatekeeper—screening, prioritizing, and escalating matters appropriately
Communication & Coordination:
- Serve as the primary liaison between executives, internal teams, clients, partners, and stakeholders
- Draft and review professional emails, memos, and official correspondence
- Ensure timely follow-ups on executive directives and decisions
- Maintain professional communication standards across all channels
Project & Task Management:
- Track executive-assigned tasks, deadlines, and deliverables across teams
- Monitor progress on strategic initiatives and provide status updates
- Assist with project coordination across BridgeHedge subsidiaries and portfolio businesses
- Support planning and execution of internal meetings, events, and offsites
Documentation & Records Management:
- Organize and maintain digital and physical files, contracts, and sensitive documents
- Ensure version control, accuracy, and easy retrieval of executive records
- Support compliance documentation and internal governance processes
Travel & Logistics (As Required):
- Coordinate travel itineraries, accommodation, and logistics
- Prepare travel briefs and supporting documents
- Handle expense tracking and reimbursement documentation
Hybrid & Remote Operations Support:
- Manage workflows effectively in a hybrid environment
- Utilize digital tools for scheduling, documentation, and collaboration
- Ensure seamless coordination between remote and on-site operations
Project Management:
- Assist in managing and executing special projects and initiatives.
- Conduct research and provide insights to aid decision-making.
- Coordinate with various teams to ensure smooth project execution and timely completion.
Required Skills & Qualifications
Education & Experience:
- Bachelor’s degree in Business Administration, Management, or related field (preferred) with 3–5 years’ experience as an Executive Assistant or similar senior support role
- Experience supporting C-suite or senior executives in consulting, finance, or multi-business environments is an advantage
